DME Support Clerk
Location: Rancho Mirage, CA 92270
Hours: Monday - Friday 8:00am - 5:00pm
Pay: $23 - $25/hr DOE

The DME Support Clerk is responsible for coordinating and managing the daily workflow related to durable medical equipment orders, authorizations, and patient communication. This position ensures timely processing of DME requests, accurate documentation, and excellent patient service in compliance with internal and payer requirements.
Essential Duties and Responsibilities
Start of Day
- Log into EMR and DME software systems and verify access.
- Check daily task list, messages, and voicemails.
- Review new DME orders or referrals received.
- Confirm the daily patient schedule for DME-related needs.
Authorizations
- Verify which DME orders require insurance authorization.
- Submit new authorization requests promptly.
- Follow up on pending authorizations via payer portals or phone calls.
- Document all status updates and outcomes in the patient chart
Appointments
- Schedule new DME appointments including fittings, pickups, and adjustments.
- Schedule reminder or follow-up appointments for compliance checks, returns, or replacements.
- Confirm next-day DME appointments with patients via phone, text, or patient portal.
- Reschedule missed or cancelled appointments as needed.
Patient Communication
- Return all patient calls and messages regarding DME orders.
- Provide status updates related to authorization, order fulfillment, shipping, or delivery.
- Accurately document all patient communication in the EMR system.
Documentation & Tracking
- Upload or scan authorization approvals or denials into the patient's chart.
- Record delivery dates and schedule follow-up reminders as appropriate.
- Verify completion of all required provider and patient signatures.
End of Day
- Reconcile open tasks including authorizations, calls, and appointments.
- Update the running log of completed authorizations and appointments.
- Flag any urgent follow-ups or unresolved issues for next-day review.
Qualifications
- High school diploma or equivalent required
- Prior experience in medical office, DME, or insurance authorization preferred.
- Strong attention to detail, organizational skills, and ability to multitask in a fast-paced environment.
- Proficient in EMR systems, Microsoft Office, and payer portals.
- Excellent written and verbal communication skills.
